Healthcare billing needs more than fragile automation

Healthcare billing depends on many systems working together every day, from insurance portals and EHR platforms to payment processors, internal tools, and the operations teams responsible for keeping revenue cycle workflows moving.

In practice, those systems are rarely connected in a simple way. Some can be reached through APIs, while others still require teams to work through third-party web portals that may change without notice. For Prestige Health & Wellness, this made automation difficult to maintain.

Two critical billing workflows were running on UiPath bots, but the setup was fragile and hard to fix. When an external portal changed, the automation could break. And when it failed, the operations team often had little visibility into what happened or what needed to be done next.

That created a real operational challenge: delayed billing workflows, more developer escalations, and less control for the people managing day-to-day revenue cycle operations.

Prestige needed a more reliable way to automate billing tasks while giving its team clearer visibility into the process.

The challenge: keeping critical billing workflows moving

Prestige needed to automate two daily workflows:

  • Insurance payment detection: identifying new insurance payments and matching them against patient accounts.
  • Remittance processing: handling payment documentation and supporting reconciliation.

The existing RPA bots helped automate repetitive work, but they were difficult to maintain in an environment that depended on external portals and changing interfaces. When something changed, the automation could stop working, and the operations team had little context to understand what happened.

That created three main challenges:

  • Unreliable daily execution: billing workflows could be interrupted by changes in third-party systems.
  • Limited operational visibility: the team lacked clear explanations, screenshots, or status information when failures happened.
  • High dependency on technical support: even small issues could require developer intervention, slowing down the billing process.

The new platform needed to be reliable enough for daily operations, easy enough for non-technical users to monitor, and secure enough for workflows involving sensitive patient and payment information.

The solution: a smarter automation platform with Claude

Marvik rebuilt the workflows as a purpose-built billing automation platform, combining predictable automation with Claude-powered reasoning where flexibility was needed.

The platform uses direct system connections when available and Claude Computer Use through AWS Bedrock for browser-based steps that require visual understanding. This makes the system more adaptable than traditional RPA without relying on AI for every action.

When a workflow stops, the system gives the operations team more context through screenshots, logs, and predefined failure messages.

For Prestige, this meant moving from opaque automation to workflows they could monitor, understand, and manage with more confidence.

Why Claude through AWS bedrock

Claude was used where it created the most value: helping the system interpret browser-based steps that require visual reasoning.

This selective use made the platform more adaptable than traditional RPA, while keeping the workflow controlled and cost-conscious. Instead of relying on AI for every action, Marvik designed the system to use Claude only when reasoning or interpretation was needed.

AWS Bedrock was also key for the healthcare context. It allowed the solution to use Claude while supporting a HIPAA-eligible architecture under AWS’s Business Associate Agreement, helping keep patient data within the customer’s AWS environment.

For Prestige, this meant gaining the benefits of Claude-powered reasoning without compromising the privacy, security, and compliance requirements of healthcare billing operations.

Building for operations, not just automation

The biggest shift was moving from automation that simply ran in the background to automation the team could actually understand and manage.

The custom dashboard gives operators a clear view of workflow status, pending items, run history, and failed steps. When something goes wrong, the team can review what happened, read a plain-language explanation, and decide whether the case needs a retry, a manual check, or technical support.

This made the platform more useful for daily operations. Claude was not only supporting browser-based automation; it was helping turn failures into information the team could act on.

Results

With the new platform, Prestige gained a more reliable foundation for daily billing automation.

The impact includes:

  • Reduced interruptions in billing operations.
  • Improved visibility and control for the operations team.
  • Reduced dependency on technical support when workflows fail.
  • Faster processing of payments and follow-ups.
  • A scalable base for future billing automation workflows.

In production, the platform is already reducing manual intervention at scale. Since launching on June 12, 2026, it has processed 1,483 checks and EOBs through Claude-guided navigation of DrChrono. Of the cases that completed the full cycle, 96.8% (1,227 of 1,268) posted automatically with no failures and no manual review, while only 1.1% required human review. 

The insurance-to-patient billing pipeline also processed 2,428 invoices with a failure rate of just 1.85%, representing roughly 427 checks and 700 invoices per month running through the platform without manual intervention.

For Prestige, the project was not just about replacing fragile RPA bots. It was about rethinking how billing automation should work in a real healthcare environment, where external systems change, sensitive data is involved, and operations teams need more control over daily workflows.

As they shared:

Looking ahead

Prestige’s billing workflows reflect a broader challenge across healthcare and enterprise operations: many critical processes still depend on a mix of modern systems, third-party portals, manual checks, and tools that were not designed to work together.

Traditional RPA can help automate repetitive work, but it often struggles when interfaces change. Fully AI-driven automation can be hard to control or costly to run at every step. Their platform shows a more practical path: structured automation where the process is predictable, Claude-powered reasoning where flexibility is needed, and clear oversight for the people managing the workflow.

For teams working with sensitive, high-volume operations, that balance matters. Automation needs to move work faster, but it also needs to be reliable, explainable, and ready for real-world constraints.
